Who is responsible

Information we use
Your name, email address, authentication details, tasks, notes, lists, spaces, comments, reminders, preferences and collaboration activity.
Plan status, feature usage counters, subscription identifiers, security events and privacy-minimised diagnostics such as route, error type and performance measurements.
Reviewed content and source details that you intentionally bring into TickLane from a connected service.
We use this information to provide the service, keep it secure, respond to support, administer subscriptions and understand whether core product flows work. These uses rely on performing our contract with you, our legitimate interests in operating a reliable service, compliance with law and, where required, your consent.
Gmail integration
TickLane does not continuously access or scan your mailbox. When you open an email and choose Summarize & prepare, Google supplies temporary permission for that message. TickLane retrieves that message for the requested action and prepares an editable task draft.
The message body may be sent securely to our AI processing provider to create the suggested summary. TickLane saves only the task content you approve, plus limited source details needed to link back to the email and prevent duplicate imports. We do not store a reusable Gmail access token, send email, delete email or modify your mailbox.
You can disconnect Gmail from TickLane settings at any time. Existing tasks and the source links already attached to them remain until you edit or delete them.
Slack integration
TickLane does not monitor channels, direct messages or workspace history. When you choose Add to TickLane on a Slack message, Slack sends that selected message and its source context to TickLane in a signed interaction. TickLane creates one editable proposal and does not retrieve surrounding messages, thread replies, files, reactions or member profiles.
The Slack app requests only the shortcut permission. OAuth links your Slack workspace-member identity to your TickLane account, but TickLane does not retain the Slack access token or refresh token returned during installation. The selected message text, a source label and a permalink are retained in Decision Inbox so you can review, approve or dismiss the proposal and include it in your account export.
Disconnecting removes the TickLane identity link immediately. The Slack app may remain installed in the workspace until a member or administrator removes it through Slack. Dismissed proposals remain in account history for traceability until account deletion. Approved task content and source links remain until you edit or delete the task.
Calendar integrations
Google Calendar and Outlook Calendar access is read-only when you first connect it. TickLane retrieves events for the bounded date range shown in Agenda so you can compare commitments with your task plan. Events are not copied into TickLane unless you choose to prepare one, and no editable draft becomes a task until you approve it.
Outlook Calendar requests Microsoft's basic calendar-read permission and does not request mailbox access. Creating a Google Calendar time block requires a separate write permission and an explicit confirmation after TickLane shows the proposed time and any detected conflicts.
Calendar refresh tokens are encrypted at rest and are never exposed to the browser. Disconnecting removes the stored TickLane connection and credential. TickLane also attempts to revoke Google authorization; Microsoft may continue to show TickLane in your consent history until you remove it through your Microsoft account.
Connected AI assistants
When you approve an AI assistant or automation client, TickLane issues that client a revocable authorization to act as your account through the integration interface. The available actions include reading lists and tasks, creating or updating tasks, changing completion state and adding comments. TickLane does not offer connected AI clients a task deletion tool.
TickLane records limited integration activity such as the client identifier, action, result, affected record identifier and time. This history is used to show account activity, prevent duplicate writes, investigate faults and protect the service. It does not contain task bodies, email bodies, passwords, provider access tokens or AI conversation content.
You can review and revoke connected AI clients in Account > Sources. Revocation invalidates the grant and associated active sessions. The AI provider separately handles your conversation under its own terms and privacy notice.
Voice features
When you choose voice capture, the recording is sent for transcription and the resulting text may be processed to identify tasks, dates and notes. TickLane does not intentionally retain the raw audio after the request completes. The transcript or task content is saved only when you confirm or create it.
Voice and summarisation requests may be processed by Groq. If the primary transcription service is unavailable, voice capture may use MouthPiece as a fallback. Do not use these features for information you are not permitted to share.
Background notifications
If you enable background reminders, TickLane stores a browser push subscription, its delivery keys, your timezone and the notification preferences you choose. These details are used only to deliver TickLane reminders to that browser and are not made available to other customers.
Task titles are hidden from lock-screen notifications by default. You can separately choose to show them, set quiet hours, disable notification categories or remove the browser subscription at any time. Expired or rejected subscriptions are retired automatically.
Retention and deletion
Account and workspace data is kept while your account is active. You can export your workspace and permanently delete your account from Account settings. If a renewable subscription is active, it must first be cancelled in billing so an account cannot disappear while future charges remain possible. Deletion removes your account and personal workspace data from TickLane's active database; content contributed to a space owned by somebody else may remain as part of that shared record.
Some billing, security, backup or transaction records may be retained for a limited period where necessary for fraud prevention, dispute handling, legal obligations or service recovery. Local drafts and preferences remain on your device until TickLane or your browser removes them.
Your rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction, portability or an objection to processing. You can also withdraw consent where processing relies on consent. Contact matthewjmortimer11@gmail.com and we will respond without undue delay.
You may complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the chance to address the issue first.
Cookies and local storage
TickLane uses browser storage for sign-in, offline support, drafts, preferences, service security and privacy-minimised performance measurements. We do not use third-party advertising cookies. Changes
We may update this notice as TickLane develops. Material changes will be highlighted in the product or sent to the account email where appropriate. The current version is always published here.
